Terms of use
The short version: your data is yours, you can leave at any time and take it with you, and JobNote is free during the beta.
1. Who we are
JobNote is run by Vellom Limited, a company registered in England and Wales (company no. 17225460), at Park Barn Farm, Station Road, Topcliffe, YO7 3SE. You can reach us through our contact form or at support@jobnote.uk.
2. Who these terms are for
A business that signs up to JobNote ("your firm"), and everyone your firm gives a login to. By using JobNote you agree to these terms. They are for businesses, not consumers.
3. Your account
Keep your logins to yourselves. The owner decides who is added and what they can see. Owners use a second step to sign in (Face ID, or a code we email). Tell us straight away if you think someone else has got in.
4. Your data stays yours
You own everything you put in: customers, jobs, quotes, invoices, records and files. We use it only to run JobNote for you. We don't sell it or share it, except with services you choose to connect (such as QuickBooks or Xero) and the companies that host and run JobNote for us. See our privacy page.
5. Taking it with you
You can export your customers, materials and equipment at any time. If you leave, ask us within 30 days and we'll help you take the rest. After that we delete it.
6. Accounts packages
If you connect QuickBooks or Xero, JobNote sends your invoices and customers to it and reads back whether invoices are paid. You can disconnect at any time from Settings, Accounts link. Their own terms apply to their services.
7. Records and certificates
JobNote helps you keep service and inspection records. It doesn't check your work or issue certificates for any scheme (for example Gas Safe, NICEIC or BS 5839). You are responsible for the work, the records and what you tell your customers.
8. Price
JobNote is free during the beta. Before paid plans start we'll email the owner with the date and the price at least 30 days ahead. Prices don't include VAT. There are no contracts: you can stop at any time. Once paid plans start, we take payment by card each month; stopping takes effect at the end of the month you've paid for, and we don't refund part months.
9. Fair use
Don't use JobNote to break the law, send spam, or try to get into other firms' data or our systems. Don't copy, scrape or take apart the software, or use it to build a rival product.
10. Availability
We work to keep JobNote running and backed up, but we can't promise it will never be down or never lose data. Keep your own copies of anything critical (exports and PDFs).
11. Liability
We're not liable for lost profits, lost business or indirect loss. Our total liability in any 12 months is limited to what your firm paid us in that time, or £100 if that is more. Nothing here limits liability that the law doesn't allow us to limit.
12. Changes
We may update these terms. If a change matters, we'll email the owner before it applies.
13. Ending an account
We can pause or close an account that breaks these terms or isn't paid, after telling the owner and giving a fair chance to put it right (unless it's putting other firms or our systems at risk). You can still take your data with you as in section 5.
14. Your ideas
If you send us suggestions or feedback, we can use them to improve JobNote without paying for them. That never makes your data ours.
15. The rest
These terms are the whole agreement between us about JobNote. If one part is found not to be valid, the rest still stands. Neither of us is responsible for delays caused by things outside our reasonable control.
16. Law
These terms are governed by the law of England and Wales, and its courts deal with any dispute.
