JobNote

Privacy

The short version: this website doesn't track you, and we only use the details JobNote collects to run JobNote.

Who we are

JobNote is run by Vellom Limited (company no. 17225460), Park Barn Farm, Station Road, Topcliffe, YO7 3SE. You can reach us through our contact form or by post at that address.

This website

jobnote.uk sets no cookies and has no tracking or advertising code. Our web host keeps standard server logs (such as IP addresses and the pages requested) to keep the site running and secure.

The contact form

What you send through our contact form (your name, email address, any company or phone number you give, and your message) comes to us by email so we can reply. We keep it only as long as we need to deal with your enquiry. To stop the form being used for spam, we keep a scrambled version of your IP address for one hour. It isn't used for anything else.

The JobNote app

  • When you sign up we keep your name, email address and company details so you can log in and use JobNote.
  • The office website uses one cookie to keep you signed in and keep forms secure. The phone app keeps your sign-in, and any records or photos waiting to send, on your phone until they're sent. None of it is used for tracking.
  • We record IP addresses for sign-ins, for quotes accepted or declined online, and for fault reports sent from a QR label. We use them for security and as a record of who answered. Sign-in records are kept for 30 days.
  • If someone scans a JobNote label and reports a fault, what they send (and their name or number, if they choose to give it) goes to the firm that looks after that equipment.
  • Your firm's data (customers, jobs, quotes, invoices, records and files) is kept for you to use. We don't sell it or share it, and we only look at it to support you or keep the service working.
  • If your firm connects QuickBooks or Xero, JobNote sends your invoices and customers to it and reads back whether invoices are paid. We keep the connection's sign-in encrypted, and delete it when you disconnect.
  • If you set up Face ID or fingerprint sign-in, your face or fingerprint never leaves your device. We keep only a key that proves it's that device. Owners' sign-in codes are emailed to them and run out after 10 minutes.
  • Your firm is responsible for the details it puts in about its own customers. We look after that data on your behalf.

Your rights

You can ask us what we hold about you, ask us to correct it or delete it, through our contact form or by writing to us at the address above. If you're not happy with how we handle it, you can complain to the Information Commissioner's Office (ico.org.uk).
